  • Conversations around what you need. Not quite sure what you'd like guidance on? That's okay, too! We'll start with your event goals, where you are in the planning process, and what's on your mind. From there, we can talk through ideas, explore options, and focus on the details that matter most to you.
  • Four planning tools you can put to work!Along with your consulting sessions, you'll receive four tools to help organize your event:
    • Logistics TimelineKnow what needs to happen and when.
    • Budget TemplateKeep your event expenses organized.
    • Run of Show TemplateMap out what happens throughout your event, from start to finish.
    • RACI WorksheetClarify who's responsible for what, who makes decisions, and who needs to be kept informed.
Never used these tools before? No problem! I'll walk you through how they work so you can put them to use with confidence.
How We Work Together

You bring your event, your ideas, and your questions. I bring event logistics experience, guidance, and an additional perspective to help you work through the details.

Think of our consulting sessions as dedicated time to ask questions, explore ideas, review your plans, and talk through your next steps. You'll remain in charge of planning and managing your event, with ECEM alongside you as a resource throughout our time together.

A Few Things to Know

  • Dedicated to your event: Your 10 consulting hours are reserved for the event identified in your agreement. Planning another event? We can establish a separate agreement for that, too.
  • Time set aside for you: We'll schedule our virtual sessions in advance at mutually available times. This package is designed around scheduled conversations rather than ongoing or immediate access between meetings.
  • Making the most of your hours: Your consulting time includes our virtual sessions, along with any agreed-upon document reviews or detailed email consultations. Simple scheduling communications won't count against your hours.
  • A timeline that works for your event: Your agreement will outline when our consulting relationship begins and when the included hours need to be used.
  • Need more time? Additional consulting hours are available in three-hour increments, scheduled and purchased separately, subject to availability.
  • Your event stays in your hands: Your organization remains responsible for carrying out planning tasks, communicating with vendors, managing contracts and payments, developing the budget, coordinating your team, and overseeing the event itself. ECEM provides guidance and the four included planning tools rather than taking on those responsibilities or creating additional custom event documents.

What's included

  • Getting familiar with your event.I begin with a conversation about your goals, desired outcomes, team, and planning progress. I review your existing plans against my master logistics timeline, identify what still needs to be done, and confirm with you who will handle each item and when it needs to be completed.
  • A walkthrough with purpose.Together, we walk through the venue, review the layout and event flow, and discuss any suggested adjustments with the venue. I also develop an emergency plan with you and the venue.
  • Vendor coordination.I get acquainted with your vendors, review their contracted services and deadlines, and stay in communication with them throughout our work together, through the end of the event and completion of load out. A vendor reference sheet brings key contacts, service details, and deadlines into one place.
  • Regular conversations that keep us aligned.Six biweekly meetings give us dedicated time to review progress, work through questions, and stay ahead of upcoming deadlines. I prepare the agenda so we can make good use of our time together.
  • A clear plan for event day.I create a detailed run of show covering the event, vendor load in, and load out, and share it with your vendors and venue two weeks before the event. Updates are distributed as needed. You also receive an event day staffing plan outlining tasks, the suggested number of people needed, coverage times, and descriptions of the roles for your team and/or volunteers to fill.
  • On site logistics management. From vendor arrival through load out, I serve as the logistics point of contact for your vendors and venue. I set up the registration table using the materials your team has prepared and delivered, oversee vendor setup, confirm the room layout, coordinate with catering and AV, and keep the event running on time according to the run of show. When unexpected issues arise, I work through solutions and am prepared to pivot, always consulting you before making decisions or changes. Before leaving, I complete a final walkthrough with the venue.
  • A conversation after the event.Within three days after your event, we'll reconnect to reflect on what went well, discuss any challenges, and share observations and takeaways that can be useful for future events.
How We Work Together

Your event is a team effort, and our partnership is no different.

Your organization brings the vision, event goals, and knowledge of your audience. I bring event logistics experience, coordination, and an additional perspective to support the plans you've already put in motion.

We'll work closely with a designated contact from your organization who can share updates, provide information, and help keep everyone connected as the event approaches.

Working Together, Sharing Responsibilities

While ECEM coordinates the event logistics, your organization continues to oversee several important areas:

  • Finances and approvals: Your team selects vendors, manages contracts and the event budget, approves expenses, and handles invoices and payments. An authorized representative will be available on event day for decisions requiring your approval.
  • Program and event content: Your organization oversees speakers, presentations, program content, and decisions about the agenda. I'll coordinate the logistics around those elements.
  • Staff and volunteers: Your team recruits, assigns, and briefs the staff and volunteers supporting the event, including those handling registration. I'll develop the event-day coverage plan and can attend your pre-event team meeting to provide logistics updates and answer questions.
  • Event materials: Your organization prepares and delivers signage, registration materials, and other supplies to the venue within the approved delivery window. I'll coordinate their placement and setup as applicable, while your team remains responsible for collecting and taking them home afterward.
  • Information and documentation: Your team shares vendor agreements, final catering counts, certificates of insurance, and other required information so we can coordinate effectively with your vendors and venue.

Event-Day Coverage

Your package includes up to 10 hours of on-site logistics management, beginning three hours before your event and continuing through load-out.

If your event requires additional coverage beyond the included 10 hours, that time is billed at ECEM's hourly rate in full-hour increments, as outlined in your agreement.

This gives us a shared understanding of the scope of our partnership before the work begins.

It starts with a conversation.

Tell me about your event and where you need help, and I'll build a proposal around it.
